Executive Assistant

RESPONSIBILITIES:

  • Executive Support:
    • Prepare and organize documents, presentations, and reports for executive meetings and presentations.
  • Calendar Management:
    • Manage and maintain the CEO’s calendar, ensuring all appointments and meetings are efficiently scheduled.
    • Coordinate and prioritize appointments, including internal and external commitments, and make necessary adjustments as needed.
  • Meeting Coordination:
    • Arrange and coordinate meetings, both internal and external, and ensure all necessary resources and materials are available.
    • Attend meetings as requested, take minutes, and follow up on action items to ensure timely execution.
  • Travel Arrangements:
    • Make travel arrangements for the CEO, including booking flights, accommodations, transportation, and creating itineraries.
    • Provide travel support and assist in managing travel-related expenses and receipts.
  • Information Management:
    • Maintain a systematic filing and information retrieval system for documents and records related to the CEO’s office.
    • Handle sensitive and confidential information with the utmost discretion.
  • Communication:
    • Serve as a point of contact between the CEO and internal and external stakeholders, including employees, clients, and business partners.
  • Strategic Planning & Data Analysis:
    • Support development and execution of the company’s strategic plans and objectives.
    • Collaborate with senior leadership to identify and prioritize key strategic initiatives.
    • Generate actionable insights from data and communicate findings to support strategic decisions.
  • Cross-Functional Collaboration:
    • Work closely with cross-functional teams, including marketing, finance, operations, and product development, to align strategies and ensure effective execution.
  • Project Management:
    • Help CEO oversee strategic projects, ensuring they are on track, within budget, and aligned with the company’s strategic goals.
    • Help CEO monitor project milestones, risks, and issues, and provide leadership and guidance to project teams.
    • Assist with special projects and initiatives as assigned by the CEO, which may include research, analysis, and coordination of cross-functional teams.
